CRM vs spreadsheet: what a small business actually needs
When a customer list in Excel stops being enough, how to tell you need a CRM, and what a proper small-business CRM setup includes.
Services
Every business has tasks that repeat every day: copying details from a form into a spreadsheet, the confirmation email, the invoice after an order, the report every Monday. We automate your business processes with n8n, an open automation platform, by connecting the tools you already pay for so they talk to each other without you in the middle.

From the form to the inbox, from the inbox to the spreadsheet, from the spreadsheet to accounting. Every copy is time lost and a mistake waiting to happen.
The online store does not know what accounting says, the CRM never hears about the appointment, the calendar notifies nobody. You pay five subscriptions that work like five islands.
If the person who knows 'how it is done' is away, everything stops. An automated process runs the same way every time, whoever is in the office.
Per-task pricing, changing limits, platform lock-in. As the business grows, the bill grows faster.
We find the tasks that repeat and cost the most time. We start with the ones that pay off immediately, not the ones that are technically impressive.
Gmail, Google Sheets, Calendar, CRM, online store, accounting, WhatsApp, telephony. n8n connects to hundreds of apps and to anything with an API.
A new lead from a form or an ad lands in the CRM and gets a reply in minutes. A new order updates stock and accounting. A booking creates a reminder and a customer record.
Email categorisation, call summaries, data extraction from invoices and PDFs, draft replies for your approval. AI for the tedious part, you for the decision.
Weekly sales, leads by source, open items, every Monday in your inbox or Slack. Without opening anything.
n8n runs in your own account or on a server in the EU. Every workflow is delivered with a diagram and instructions, so you do not depend on us.
Which tools you open, what you copy, what you send, what you forget. That produces the list of processes worth automating.
For each process we estimate the time saved and the cost to build. We start with the two or three with the highest return.
Every workflow is tested with real data and handles failure: a missing field, a tool going down, a duplicate record.
A diagram of each workflow, what it does, when it runs, where to look if something breaks. You are alerted if a workflow fails.
Once the first workflows run, we add the next ones. Optional monthly maintenance for monitoring and small changes.
n8n is an open automation platform that connects apps with visual workflows, like Zapier or Make, but without per-task fees and with the option to host it on your own server. We use it because it connects to hundreds of apps, supports AI steps and keeps your data yours.
Anything that repeats with fixed rules: logging leads from forms and ads into the CRM, confirmation and follow-up emails, creating invoices after an order, updating stock, appointment reminders, weekly reports, moving data between your online store, accounting and Google Sheets. In the first meeting we build the list together.
We charge per workflow. A simple one, such as form to CRM with an automatic reply, is the most affordable; complex workflows with many tools, accounting or AI steps cost more. The monthly running cost of n8n is small and paid directly. After a short call you get a quote per workflow.
With most, yes, as long as the software has an API or supports file import and export. We regularly connect online stores and CRMs with accounting and e-invoicing providers such as QuickBooks, Xero and local equivalents. In the first meeting we check what yours supports.
Every workflow is delivered with error handling and an alert to you, or to us if you have maintenance, when something fails, for example if a tool changes or goes down. You also get documentation for each workflow, so you know what it does and where to look.
They are good tools for very simple needs, but they charge per task or per operation, so the cost grows with usage, and they lock you into their platform. n8n has a fixed low cost, can run on your own server and supports more complex logic and AI. If you already have Zapier workflows, we migrate them.
A simple workflow, such as form to CRM with an automatic reply, is delivered in a few days. A package of three to five workflows connecting website, CRM, calendar and accounting usually takes two to four weeks, mostly for testing with real data.
